A] Gatedoctors will attend site at the required intervals to carry out the required service work to the system. Change minor parts, fluids and carry out electrical / electronic testing as required and in accordance with the manufacturer’s maintenance recommendations and current applicable regulations regarding electrical and automation equipment.
B] Gatedoctors will inform the client ahead of the site attendance and the site will be asked of any known problems. Gatedoctors may charge engineer time for return attendances where a known problem is not reported ahead of the service attendance.
C] Sites with a SERVICE AGREEMENT have preferential attendances over non serviced site; parts and labour are chargeable at the current engineer callout rate. In the event of any of the equipment listed on the system technical file becoming defective during the warranty period these will be replaced without cost providing the routine servicing is carried out within 30 days of the due date and the financial account not being in debit.
D] If the site requires a purchase order to be raised the purchase order number is to be provided to Gatedoctors ahead of the attendance.
E] In the event of a defect being caused by fire, subsidence of gate hanging method or roadway, lightning, water or frost, or by neglect, acts of omission, vandalism, tamper or impact or for induction road loops affected by deterioration or movement of a road surface, the cost and expense of rectifying the defect shall be borne by the owner. Gatedoctors will report any such findings to the owner or agent for authorisation for repairs.
F] The owner shall inform Gatedoctors the full nature of any system problems [radio transmitters being sent to our office for test] and permit such access and provide such facilities and equipment as Gatedoctors may reasonably require for the purpose of rectifying defects or maintaining the equipment.
G] The owner shall ensure that while Gatedoctors personnel are on site for the purpose of this agreement, they shall not be exposed to risks to their health and safety.
H] Installation warranty – Gatedoctors offer 1 years Warranty on labour and cover parts in line with manufacturer’s warranty. Where equipment is approaching its life expectancy the agreement holder will be notified in writing regarding continued service; limited to equipment currently in manufacturer or supported in the UK for spares. Should a manufacturer downgrade equipment Gatedoctors will provide prices for alternative equipment to suit the environment of the installation and the recommendations will need to be actioned by the site.
I] Our parts-only warranty covers the cost of replacement parts that fail due to a manufacturer’s defect. However, it does not include the cost of labour, this will be charged at our standard hourly rate. To maintain your warranty coverage and comply with Health & Safety (HSE) requirements, the system must be serviced regularly by Gatedoctors, in accordance with current safety regulations and the manufacturer’s recommendations.
J] The agreement is a rolling contract and does not need renewing each service period. However, either party may give a minimum of one month’s written notice in writing to terminate this agreement. Cost increases to provide the service agreement can increase in line with inflationary costs that relate to our service industry and where further changes to applicable legislation is made in the UK or EU.
K] This agreement covers normal working hours only, Monday to Thursday, 8 am to 4pm and Friday 8am to 3pm, excluding bank and public holidays. Calls after 12 pm (midday) will be treated as next business day calls.
L] Gatedoctors do not indemnify the owner against direct damage, injury or loss and shall not be liable for any loss of profit or consequential loss.
LM] Gatedoctors will endeavour to meet all callout times but cannot guarantee attendance where other callouts are being attended.
N] Our standard trading conditions are to apply to work or contracts.
O] Recommendations beyond the scope of the contract will be forwarded to the owner by Gatedoctors and are to be actioned within 30 days.
P] Breakdown call-outs between services [where not covered by the agreement] are charged at the prevailing labour rate plus travelling time to and from the site at the same rate and charge zone costs where applicable. All above prices are exclusive of VAT, which will be added to the totals. Parts will be charged [where not covered by the agreement] as per the current recommended price list. Labour rates can be given over the phone or by email. Cancellations must be given in writing.
Q] This agreement is for servicing and supporting a system, it is not an insurance agreement and we recommend the system be separately insured for accidental damage to the system or to others.
R] In the event that a maintenance contract is offered to a site previously unknown to Gatedoctors the customer will be advised after the first service if there is any chargeable corrective action/work required to address any safety issues and to bring the system to a serviceable standard. Historical problems must be revealed to GD so that they can be actioned.
S] Where a clients e-mail account is changed Gatedoctors are to be notified by e-mail and informed of the new address.
T] Where a client requires attending engineers to attend site inductions, or provide changes to risk and method statements Gatedoctors will charge at the published engineer rate for the time used.
U] Items not on the schedule “A” list are not part of the service agreement.
